Security of RICOH Interactive Whiteboards

Introduction

Along with the development of the information society, we are facing various threats, such as computer viruses, personal information leakage and unauthorized access. In such situations, it is important to take the necessary security measures for everybody.

This is now important not only for PCs, servers, and networks, but also for Interactive Whiteboards.

In order to more safely use RICOH Interactive Whiteboard, we would like to recommend taking the following security measures.

<Security measures in your network environment>

  1. Use a network isolated by a firewall to prevent unauthorized access via the Internet.

  2. Make the following rules when using a PC in the network.

    1) Lock the PC when away from the desk.
    It is recommended to lock your PC if you leave your desk without closing the browser.
    2) Use a different browser when you are looking at different category websites.
    It is recommended to use a different browser when you log in to different category websites that you cannot confirm the reliability of. If you use the same browser, please log out, then open the other website.
    Please do not simply close the website, but log out of it properly.
    3) Open only trusted links
    When you open hyperlinks from emails and message boards on your PC, please be careful. Please open only trusted links.
    4) Update security programs
    Please update security programs to the latest version as soon as they are released.
    5) Install security software on mobile devices.
    Mobile devices are used via mobile communication networks of mobile carriers and other connections that are not protected by firewall.
    So, please install security software on each device.
    6) Before using a USB flash memory device, check that it is not infected with a virus.

<Security measures in interactive whiteboards>

When using RICOH Interactive Whiteboard A6500/A7500/A8600 safely

Type Recommended security measures
Settings and Managements Configure Super Password, Admin Password and Lockscreen Password. Specify passwords that are difficult for others to guess. Manage passwords properly.
Settings Avoid storing confidential information on the interactive whiteboard. If you need to store confidential information temporarily, restrict user access to the interactive whiteboard by lock screen.
Managements Login information of apps remains after turning off the interactive whiteboard. When you have finished using an app, logout and delete all confidential information on the screen.
Managements Update promptly whenever new firmware is released.
Managements Keep all your apps up to date.
Managements Check app developer's information before downloading and using third-party applications on your machine by yourself. To prevent anonymouse users from installing apps without any permission, change Security Settings or use lock screen.
Setting environment When you set confidential information, please do so such that no one can access it.
Disposal Restore the display to Factory default setting before disposal. Otherwise, your data remains in the display.

When using RICOH Interactive Whiteboard Controller Type1/Type2/Type3 safely

Type Recommended security measures
Settings and Managements Set an administrator password that is difficult for others to guess, and manage it properly.
Settings When using the controller Type 2, encrypt the data storage media by yourself using the administrator settings.
Settings Set a meeting code that is difficult for others to guess when you save page data temporarily on the interactive whiteboard.
Managements When a meeting is over, press the End Meeting icon to end the meeting. This deletes the contents of the meeting, allowing you to prevent third parties from accessing meeting contents.
Managements If security measure firmware is released, please update as soon as possible.
Setting environment When you set confidential information, please do so such that no one can access it.
Disposal Please reset to the initial factory settings before disposal. Otherwise, your data remains in the controller.

When using RICOH Interactive Whiteboard Controller OP-5/OP-10/OP-5 Type2 safely

Type Recommended security measures
Settings Encrypt the data storage media by yourself using Windows standard BitLocker.
Settings Install commercially available security software or enable the Windows Defender function.
Managements Use the administrator account only when necessary and avoid providing general accounts with administrator privileges. Also, manage your password properly.
Managements Use the controller after blocking unnecessary ports with Windows Fire Wall.
Managements Use the controller after applying the latest Windows updates.
Managements Use the controller after applying the latest software updates.
Managements When a meeting is over, log out to end the meeting.
Setting environment When you set the confidential information, please do such that on one can access it.
Disposal Dispose of the controller after erasing data.

<Exceptions of network communication encryption>

For D5500, D5510, D2200 and Controller Type 1, the communication encryption specified below is not available.

  • Remote Whiteboard session between Interactive Whiteboard and RICOH IWB Client
  • Desktop sharing session between Interactive Whiteboard and RICOH IWB Remote Desktop Software
