ISO 14001 certification(Japan)
Nikkei Ecology, March 2002

All sales companies have acquired environmental ISO through information system utilization. Report on the latest EMS construction.

An example of the EMS for marketing -monitoring database-

An example of the EMS for marketing "monitoring database"
In December last year, Ricoh acquired ISO 14001 certification in bulk in 410 sites of 49 companies including domestic group sales companies. It was accomplished on the basis of a corporate environmental action plan to acquire ISO 14001 certification in all business sites by the end of 2001, following the production sites.
For realization of bulk acquisition in a large scale organization that includes about 18,000 employees, the latest EMC construction in use of an information system has played important role.

It covers 49 domestic sales companies, 410 business sites, and approximately 18,000 employees.

For more effective environmental activities, the whole group has constructed the EMS.
The Ricoh group has acquired ISO certification in. production subsidiaries and logistics and maintenance/service related subsidiaries. Right now, Ricoh is actively promoting EMS construction is all areas of its business activities. It is because we consider it important to circulate a larger PDCA* cycle in the overall business area including sales divisions, so that environmental activities are more effectively developed. Also, through EMS construction in sales divisions, it becomes possible to raise environmental awareness of each employee who has much opportunity to contact customers and to provide customers and subsidiaries with know-how of effective environmental activities; and thus we can contribute to environmental conservation of the whole society.

Educational CD-ROM for employees

Educational CD-ROM for employees
Toward certification acquisition, we first inaugurated an in-house project team. Systematization for fostering teachers has started. Later, we established an education curriculum and environmental management rules to teach each and every of our 18,000 employees. Compared to production divisions, employees in sales divisions have little opportunity to feel environmental impact directly and, therefore, it was necessary to teach them about environmental activities from the very start. However, in the sales division where most of employees go out during the daytime, it was difficult to have a collective course. To cope with such a situation, a dialog type educational CD-ROM was developed. Thanks to this, it has become possible to give them efficient education without time problems. Also, in order to unify progress of environment - related operations in various sales sites with a different situation, it was necessary to have information integrated and shared. Thus, related operation documentation is entirely electronized and a database is constructed whereby all employees can perform operations on the network. It has enabled smooth transmission of information and realization of paper-less-ness of auditing documentation that has amounted to as many as about 300 thousand sheets in such a large scale event of this time. Furthermore, concerning registration examinations, we have implemented an electronic audit, the first of this kind in Japan. It has brought about a large efficiency in that the documentation audit was finalized in only 4 days.

Environmental activity is promoted at the contact point with the customer and we realize higher quality environmental business management.
Through a series of activities directed toward certification acquisition at this time, the Ricoh's sales group was reborn as one of 18,000 people with a higher environmental awareness. And employees' striving for the same objectives leads to stronger constitution of a sales division. In the circumstances where the Green Purchase Law is implemented and there are increased numbers of companies with higher environmental awareness, it is not our business only to develop and sell products with excellent environmental performance. To invite customers with high interest in environmental conservation activity to our zero waste factories and to actively introduce advanced examples to customers to have them carry new environmental awareness are important operations of the future sales division. Not only through environmental impact reduction of Ricoh Group business activities, but also through active information disclosure such as environmental activity proposals and example presentations to more customers, we will contribute to environmental impact reduction of overall society and will practice higher quality environmental business management.
